Let’s get something straight:
When a business owner says, “I want a backup,” it can mean wildly different things depending on who you are and what you’re trying to avoid.
And unless you explain what you mean, your MSP might think you’re asking for a parachute when what you need is a second engine. Huge difference. So let’s break it down.
A second server that kicks in when the first one tanks (Tech term: Disaster Recovery or High Availability).
A daily copy of all your files in case you get hit with ransomware (Tech term: Data Backup).
An email archive in case your company lands in legal hot water (Tech term: Compliance Archiving).
See the problem? Three completely different outcomes. All are casually called “backup.”
Because if you think you’re covered and you’re not… well, that’s how businesses fold. That’s how ransomware gets paid. That’s how lawsuits go sideways. And that’s how MSPs like us end up having to say the most painful phrase in tech:
“We don’t have that.”
And let us tell you something, no MSP ever wants to say that. But we can only protect what’s been communicated.
And here’s the scary truth:
60% of businesses that experience significant data loss without a reliable backup system shut down within six months
93% of businesses without proper data backup strategies are at risk of bankruptcy following a major data loss incident.
Why? Because they can’t recover critical data. They lose customer trust. They face compliance fines. And every hour of downtime costs real money.
Don’t just say “backup.” Tell us what problem you want to solve and how fast you need to bounce back if things go sideways.
Here are three real examples from smart business owners who got specific and saved themselves a whole lot of future pain:
“I want a copy of all my emails so that if I get sued, I can pull up evidence to clear my name. I don’t need to access it every day, but I need to know it’s there and secure.”
📌 You want email archiving for compliance and legal defensibility.
“I want a secondary server that can take over immediately if my primary one crashes. I’m willing to invest because downtime costs me real money.”
📌 You want high availability or disaster recovery infrastructure.
“I can’t afford disaster recovery, but I need a full copy of all my critical files somewhere safe. If my server goes down, I’ll rebuild manually, but I want to know I won’t lose my data.”
📌 You want basic data backup, ideally offsite or in the cloud, to protect against ransomware, hardware failure, or human error.
I can’t scream this loud enough: Having a backup does NOT mean you’re ready to recover. If you’ve never tested restoring that backup, you might be sitting on a shiny-looking boat with a giant hole in the bottom.
👉 Test your backups.
👉 Know your restore times.
👉 Ask your MSP what happens after the data is recovered.
Don’t assume we know what “backup” means to you. Be specific. Be honest about your budget. And be willing to listen when we explain the trade-offs.
Because at the end of the day, this isn’t about jargon. It’s about keeping your business alive when it hits the fan.
And we’re not in the business of maybe. We’re in the business of making sure.
